Job Summary: The responsibility and authority for the administrative management of the office in the absence of the Administrator. Day to day activities include: office reception, ordering of office supplies and forms, managing office cleaning, managing the postal needs, postage, pickups, mailings, duties that will provide administrative support to the team, etc.

Key Responsibilities:
- Documentation: Maintain and organize files, records, and documents. Ensure all documents are accurately filed and easily accessible per company standards. Manage medical office operations efficiently, ensuring a seamless workflow.
- Customer Service: Provide exceptional customer service by responding to inquiries and resolving issues promptly and effectively. Communicate effectively with clients, physicians, vendors, and staff.
- Coordination: Coordinate appointments and manage calendars for clients and staff. Plan and coordinate office events and activities. Maintain schedules and ensure timely completion of tasks.
- Onboarding: follow company protocols and work with human resources and the IT department to onboard new employees and offboard employees who leave or are terminated.
- Supplies Management: Monitor and order office supplies. Ensure the office is well-stocked and organized.
- Other Duties: Perform other administrative duties as assigned to support the team.
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: Minimum of 2 years of medical administrative experience. Experience with home healthcare is essential. Knowledgeable of HIPAA and client confidentiality regulations and medical terminology.
- Language Skills: Bilingual proficiency in English and Spanish .
- Technical Skills: Proficient in Microsoft Office Suite is a must (Word, Excel, PowerPoint, Outlook). Familiarity with office management systems and procedures such as EHR systems.
- Communication Skills: Excellent written and verbal communication skills in both languages. Ability to communicate effectively with diverse groups of people.
- Organizational Skills: Strong organizational and multitasking abilities. Attention to detail and problem-solving skills.
- Interpersonal Skills: Ability to work independently and as part of a team. Strong interpersonal skills and a positive attitude.
Experience:
Excellent computer skills required, excellent interpersonal and organizational skill. Knowledge of medical terminology preferred. Bilingual is a plus.
- The ability to type 30 to 40 WPM (preferred)
- Management (2-3 years preferred)
- Competency in payroll processing
- Calendar management & scheduling
- Experience in event planning within a healthcare setting is a plus
- Administrative experience (1 year required)
- Microsoft & Google Suite (2 years required)
- Home & Community Care (1 year preferred)
- Is trained in first aid/CPR (preferred)

Job Type: Part-time
Pay: $16.50 - $18.50 per hour
Schedule: 9a- 3p, Monday - Thursday & Every Other Friday
May require some additional hours during busier periods.
Possible 1-2 monthly Saturday's for Audit Review
